This notice explains how Aplex Group ("we", "us") collects and uses personal information when you visit our website, contact us, or hear from us about our services.

Who we are

Information we collect

Contact form: your name, email, phone number, industry and message.
Meeting bookings: the details you enter when you book a call through our scheduling tool.
Emails and calls: what you share with us when we talk or write to each other.
Business contacts: names, job titles and work contact details of people at organizations we may contact about our B2B services. We take these from publicly available or professional sources.

How and why we use it

Under UK data protection law (UK GDPR), we use your information on these legal bases:

Consent: to handle your contact form submission where you have given consent. You can withdraw it at any time.
Legitimate interests: to respond to inquiries and to contact businesses about services that may be relevant to them. We keep this outreach proportionate and respect your right to object.
Contract: to provide our services to clients and manage the relationship.
Legal obligation: to keep records required by law, such as for tax and accounting.

Who we share it with

We only share personal information with trusted providers who help us run our business, and only as needed:

IONOS: website hosting and website analytics.
Salesmate: CRM, email and meeting scheduling.
Google: maps and website translation, only if you consent.
Our email providers: to send and receive email.

We may also share information with professional advisers, or where the law requires it. We never sell personal data.

International transfers

We work with businesses in the United States, and some of our providers store or process data in the US and other countries outside the UK. When information is transferred outside the UK, we rely on appropriate safeguards where applicable, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.

How long we keep it

We keep personal information only for as long as we need it:

Inquiries and prospects: up to 24 months after our last contact, unless you ask us to delete it sooner.
Client records: 6 years after the relationship ends, for legal and tax purposes.

After that, we securely delete or anonymize it.

Your rights

You have the right to:

access the personal information we hold about you
have it corrected if it's wrong
have it deleted
restrict how we use it
object to how we use it, including direct marketing, at any time
receive it in a portable format
withdraw your consent at any time
